1.Assists with coordinating repair and maintenance works of office / equipment and following up with vendors on orders / outstanding jobs as needed.
2.Provides reception responsibilities including ensuring all calls are answered and redirected promptly.
3.Maintains the appearance and comfort of the reception area and all meeting rooms.
4.Provides meetings logistics for both offices on-site meetings including but not limited to : escort guests into meeting rooms, meeting room space, meeting equipment,catering, audio-conferencing, video conferencing, and Telepresence.
5.Provides mail services and local international couriers' arrangements.
6.Anticipates and provides hospitality services to clients, visiting associates, and other guests including but not limited to escorting guests to meeting rooms, arranging refreshments, transportation services ( taxi, car service, etc.).
7.Maintains inventory of visitor access cards.
8.Provides support and assistance during associate's stay ( e.g. office needs, directions,queries ).
9.Schedules visitor offices / workstations and prepares visitor space utilizing a checklist of necessary items ( office supplies, visitor name tag on door, arranges office cleaning ).
