Our client is a reputable architecture and interior design firm headquartered in UK. Due to the business expansion, they are looking for a receptionist in Shanghai Office.
Working Location: Shanghai, China
1. Receive Visitors
Greet clients and visitors in professional manner whilst maintaining visitor registration, offering refreshments and direction to the correct person. Keep reception area neat and ensure back up when absent from desk.
2. Answer Calls
Answer and address incoming calls in a timely manner, clearly determining the purpose of the call. Knowledge of current projects and staff is such that incoming calls can be transferred to the appropriate person quickly and accurately. Good telephones techniques are used to handle difficult callers.
3. Manage Mail
Sort and distribute incoming mail, prepare outgoing mail for collection, organising courier deliveries whilst meeting postal deadlines.
4. Organise Meetings
Book meeting rooms informing participants.Set up meeting rooms with equipment, liaising with IT for VC requirements.Organise catering and refreshments. Keep meeting room neat.
5. Admin Support
Prepare and manage correspondence, invoices, reports and documents, organise meetings and travel arrangements in an accurate timely manner in liaison with the Admin, HR and Finance teams as requested .
Clerical duties to include bill payments, cheque deposits, photocopying, faxing and maintaining database and travel report as required in liaison with the Admin, HR and Finance teams as requested.
-At least 1 years working experience on admin and repection
-Associate or bachelor degree
-Fluent in English and mandarin native speaker
-Down-to-earth, detail-oriented and willing to grow up with the company
-Work well under pressure
